 concerto programming

Driving home this evening I listened to the NY Phil perform Nielsen's Clarinet Concerto with soloist Anthony McGill. A question came to mind.

Who decides to play a concerto with one of the orchestra members as soloist? Is it just whoever usually chooses the programming (the conductor?), and they come up to the member one day and say, oh, we're doing the Nielsen next month. Or does the member go up to the (conductor?) and say, hey, I wanna play the Nielsen Concerto. How is the collaboration decided on?

That's a good question! I've been wondering that lately as well.

I don't play in a major orchestra, but absent anyone else's more first-hand input, my experience is that a major orchestra's programs for the season are worked out at least a year in advance, some very large works or concerts involving major touring performers far more than that. Principal players sometimes (maybe more often than not) have contractual guarantees of solo opportunities on some periodic basis. As far as I've ever heard, the choice of repertoire is the player's with the music director's approval. I don't know any more detail than that and maybe someone with more experience at the major symphony level will correct me or expand on my understanding.

There are additional negotiations that are involved if the solo work is still under copyright protection (performing rights need to be licensed and, perhaps mechanical rights for recording), and if the work is a premier of a new commission, I imagine it all has to be worked out two or three seasons in advance.

Unless the orchestra principal is subbing at the last minute for an outside soloist who has had to cancel (I've seen that in Philadelphia more than once), solo performances aren't put into the schedule on the fly, certainly not a month ahead of the performance.
